Recognizing team spirit with Business Excellence Awards
Written by Arpita TIWARI
The Annual edition of Business Excellence Awards recognises and celebrates individuals and teams who committed themselves to drive superior business improvements
Every year we recognise one outstanding Lean Six Sigma black belt and one outstanding Lean Six Sigma green belt project from all completed Lean Six Sigma black belt projects and Lean Six Sigma green belt projects respectively. We completed 8 Lean Six Sigma black belt and 24 Lean Six Sigma green belt projects in 2019! The winners demonstrated exemplary cross-functional collaboration among different teams/departments to achieve joint success.
The winners for 2020 are teams consisting of members across various departments in SMU coming together to deliver diverse aspirations – a mixed-team from LKCSB-PG and IITS who worked with 10 other units/ICLIs/Departments!!
Team members from both the projects shared their experiences and reinforced the significance of teamwork and collaboration towards achieving a common goal.
Outstanding Lean Six Sigma Black Belt Project*
Winner: Enhancing post graduate students’ experience during orientation and onboarding
Critical PG Orientation-Onboarding processes at LKCSB are time and effort intensive with tight turnaround time expectations. On top of that, varied student demands can result in inconsistent overall student experience. To develop stronger linkages and better coordination, Recruitment & Admissions team, PG Programmes and Professional Doctoral Programmes collaborated to significantly improve the postgraduate orientation-onboarding processes.
The project yielded strong results – reduction in time spent on onboarding postgraduate students, fewer errors and lesser handoffs between teams through a streamlined process that now allows digital document submission instead of physical document submission. The team included:
Project Champions: YEO Lay Yan (LKCSB-PG Programmes), Bernard HUANG (LKCSB-Professional Doctoral Programmes), Mandy LIN (Recruitment and Admissions)
Project Lead: Jack HO (Office of Business Improvement)
Project Team Members: Eugene LEONG (Recruitment and Admissions), Joanne WONG (LKCSB-PG Programmes), Joann POON (PG-Operations), Aparna RAJESH (LKCSB-PG Programmes), Lynn YUE (LKCSB-PG Programmes), Audrey LAM (LKCSB-PG Programmes), LEE Ling Ling (LKCSB-PG Programmes), Christina CHAN (LKCSB-PG Programmes).
The team had this to say:
As per Bernard, the project was a great success as “both the Programs Team and Recruitment and Admissions Team really wanted the LKCSB PG students to enjoy a much better student experience during matriculation; and to project ourselves as a professional services team by offering an efficient and integrated flow of information”.
Lay Yan mentioned “we could succeed as a team because we want to change and make a difference”.
Eugene shared an inside peek on how the team worked throughout the project – “the team could succeed because of our clear and responsive communication.”
Jack articulated his experience through a gastronomical analogy i.e. “we drank collaboration juice and nibbled on many slices of communication cake.”
Outstanding Lean Six Sigma Green Belt Project#
Winner: Assisting webmasters to create microsite in shorter turn-around time
Webmasters face design challenges in creating simple intuitive microsites. To support the webmasters in their endeavor, the project leads developed a standardized tool kit including templates and a self-help guide. The project resulted in reducing the average lead time to create a microsite from 6 weeks to 3.5 weeks. The project team comprised of:
Project Champion: GOH Wee Sen (IITS, Web & Media Technologies)
Project Lead: Jim CHUA (IITS, Web & Media Technologies), Sherlyn YAP (IITS, Web & Media Technologies)
Project Coach: Arpita Tiwari (Office of Business Improvement)
Project team members: Lisa LEE (SKBI), CHEONG Pei qi (SOE), Vanessa LEE (ORTT), Syrian JASLEE (OSS), Adeline TEO (CEBLA), Derek CHIANG (SMU-X), ZHANG Huarong (BSI), Ivy WONG (OAR), Rupert CHAN (DKHMCC), Ranseur TEO (IIE), Christine WEE (IIE), Phyllis CHUA (IIE)
Wee Sen highlighted team’s commitment to meet the common objective and succeeded because “as a team we want to lift everyone up.”
Jim touched on another crucial aspect i.e. relying on each other’s strength. He shared that as a team “we banked on each other’s talent to work towards a common goal.”
Sherlyn emphasized on the importance of challenging the colleagues in order to bring the best out of each other, “We could succeed because we communicated a lot and challenged each other. 😀”
Such stories and feedback on our colleagues is a remarkable evidence of how collaboration can shape and redefine our day to day working methods, processes etc. for better experience and outcomes.
